Creating a Pipeline

Set up review stages and approvers

A pipeline says who reviews your content and in what order.

  1. Go to Approvals and click New pipeline.
  2. Optionally start from a template (One approver, Team then client, Brand legal final OK). Templates fill in the stage names; you choose who approves.
  3. Give it a name, and a description so your team knows when to use it.
  4. For each stage, add the people who approve it by email address. Add me adds you, and From your team lists teammates who can review.
  5. Use the arrows to reorder stages, and Add a stage for more (up to 5). Removing a stage can be undone straight away.
  6. Check the How it will run summary, then click Create pipeline.

Everyone in a stage must approve before the next stage starts. If anyone rejects, the request stops and you see their comment. Every stage needs at least one approver, and each address must be valid.

Offer it in the Content Library

When this switch is on, items in the Content Library get a Send to Approval button that can use this pipeline. New pipelines start with it off, so building one changes nothing in the library until you switch it on. You can turn on as many pipelines as you like, for example one per client; the library asks which one to use. While any pipeline is on, library items show Send to Approval instead of Publish until they are approved. You can also flip the switch on each pipeline card on the Approvals page.

Editing a pipeline only changes new requests. Requests already in review keep the stages and reviewers they started with. To make a variation of a pipeline, open its menu and choose Duplicate.

Approvers do not need a PromoPilot account. They receive a secure email link to review content.
