An AI receptionist answers calls to your brand phone number. It answers questions from your Brand knowledge, Services and Opening hours, takes messages, and can put callers through to a person. Every call is transcribed and summarised.
Setting one up
- Buy a number in Brand & Accounts > Phone numbers first.
- Open CRM > Calls > AI agents and click New AI agent.
- Pick the number it answers and how clever it should be: Fast, Balanced or Best. Each has its own price per minute, shown next to it.
- Optionally add a greeting, extra instructions and a number to put callers through to (a UK landline or mobile, or a US number). Without one, the agent takes a message instead.
- Tick Answering calls and save. The number starts going to the agent straight away.
Set up with PromoPilot AI
At the top of the agent, describe your business and how the phone should be answered, then press Fill in the settings (16 credits). PromoPilot AI fills in the name, greeting, instructions, model, longest call and which knowledge to use, and lists facts you mentioned that the agent does not have yet, each with an Add button. Nothing changes until you press Save. If the draft fails, the credits are refunded.
Choosing knowledge
Under Brand knowledge it can use, pick All of it, or Only the ones I pick and tick the entries this line should know. Each type of knowledge has a hint saying what it is for. Add knowledge creates a new entry in your Brand knowledge straight from the agent and ticks it. Anything the agent can use can be read out to callers, so leave internal notes out. Every field has an hint explaining it.
What callers hear
The agent says it is an AI assistant and that the call is transcribed, answers in short spoken sentences, and never makes up prices or promises. Anything in your Brand knowledge, Services and extra instructions can be read out to callers, so keep internal notes elsewhere.
Credits
Each started minute of a call is charged from the brand's credits at the price of the agent's level, and minutes put through to a person have their own price. Calls are always charged per minute, whatever the plan, because the phone network bills every minute. When credits run out the agent ends the call politely, and new calls hear a short message until credits are topped up. AI calls start once a free trial ends.
Prices
- The AI Receptionist is its own module: $29 a month or $290 a year per brand (£23 or £230), with one AI agent and 300 credits a month included.
- Each extra AI agent is $10 a month or $100 a year (£8 or £80). Add them in Subscription.
- Each started minute of a call: 10 credits on Fast, 12 on Balanced, 15 on Best. Each minute put through to a person: 5 credits.
- The module also lets the brand buy a phone number and keep CRM contacts, so it works on its own. The number is added to the plan at its own monthly price (see Phone Numbers and Text Messages).
After a call
CRM > Calls > Call log shows every call with its summary, any messages taken and the full transcript. Messages are also emailed to the brand owner. Callers who leave a message are saved as contacts, and the call summary is added to their contact.
